NoTrace LLC

CANCELLATION, PAYMENT, & LATE FEE POLICY

This policy outlines the terms governing all commercial janitorial services, recurring facility maintenance, and one-time service agreements provided by NoTrace LLC. By entering into a service contract or approving a quote with NoTrace LLC, the client agrees to comply with the following cancellation, billing, payment, and late fee terms.

1. CANCELLATION & RESCHEDULING POLICY

1.1 Recurring Service Contract Cancellation (Standard Term Termination)

● Written Notice Requirement: Either party may terminate a recurring commercial cleaning contract by providing a minimum of thirty (30) days' written notice to NoTrace LLC via official email at notracellc.md@gmail.com.

● Transition Period: Services and standard billing will continue through the 30-day notice period unless an alternate arrangement is mutually agreed upon in writing.

1.2 Individual Visit Cancellation & Rescheduling

● 48-Hour Notice Standard: Clients must provide at least 48 hours' notice prior to any scheduled service visit to cancel or reschedule without penalty.

● Short-Notice Cancellation Fee (Under 48 Hours): Cancellations or rescheduling requests made with less than 48 hours' notice will incur a Cancellation Fee equal to 50% of the quoted value for that specific service visit.

● Lockouts & No-Access Fee: If NoTrace cleaning staff arrives on-site during the scheduled time window and is unable to access the facility (e.g., missing keys, changed lock codes, alarm lockouts, or blocked entryways), the visit will be treated as a short-notice cancellation and billed at 100% of the scheduled visit rate.

2. PAYMENT REQUIREMENTS & TERMS

2.1 Standard Payment Terms

● Payment Schedule: Payment is due upon completion of each service visit unless a recurring monthly billing arrangement (e.g., Net 30 days) has been established in writing.

● Invoicing: Monthly recurring agreements are invoiced in equal installments and are subject to the specific payment due date indicated on the invoice.

● Client Access Responsibility: Clients are responsible for ensuring that clear building access, keys, key fobs, or entry codes are made available to NoTrace staff prior to each scheduled visit.

2.2 Payment Methods

Payments may be remitted via electronic bank transfer (ACH), check, or credit card as specified on your NoTrace LLC invoice.

3. LATE FEES & INTEREST CHARGES

3.1 Grace Period & Late Fee Assessment

● Grace Period: Payments not received within 5 calendar days of the due date are considered past due.

● Late Administrative Fee: A flat $35.00 late fee will be applied to any account with an unpaid balance following the grace period.

● Monthly Interest Rate: Overdue balances will accrue interest at the rate of 1.5% per month (18% per annum), or the maximum rate allowed by Maryland state law, calculated daily from the original due date until paid in full.

3.2 Suspension of Services

● Service Hold: Accounts that are 15 days or more past due are subject to immediate suspension of services. NoTrace LLC reserves the right to withhold janitorial services until all outstanding balances, late fees, and accrued interest are paid in full.

● Resumption Fee: A $50.00 account reinstatement fee may apply to restore suspended recurring service schedules.

3.3 Collection & Legal Expenses

In the event that NoTrace LLC must engage a third-party collection agency or legal counsel to recover unpaid balances, the client shall be responsible for all reasonable costs of collection, including court costs, filing fees, and reasonable attorney's fees.

4. POLICY ACKNOWLEDGMENT

This policy is incorporated into and forms an integral part of all NoTrace LLC service quotes, proposals, and contracts.
